WhatsApp automation · Gyms, PTs & studios The engine is live right now

WhatsApp messages your members. Automatically.

Classes reminded so they actually turn up, lapsed members nudged back before they cancel, failed payments chased politely, and happy members asked for the review after a great session. All automatic, from your number, in your own words.

The whole journey

One member. Five messages. Zero chasing by hand.

Here is exactly what your member sees, from joining to renewal. Every message fires on its own, triggered by your booking system. And every single one is customisable, word for word, so it sounds like your gym.

Honestly loved it. Dead now though 😅20:44 ✓✓
That's exactly how it should feel! If you've got a minute, a quick Google review helps a small gym massively.20:45

01

The booking lands

A class or PT session gets booked and the member gets an instant confirmation. New joiners get a welcome message that makes day one less intimidating.

Instant · triggered by your booking system
02

Reminders that fill classes

A few hours before class, everyone booked gets a nudge. No-shows drop, and freed slots can go to the waitlist instead of running a half-empty class.

Hours before each class
03

The win-back

Members don't cancel on day one, they drift for six weeks first. After two quiet weeks they get a friendly nudge with this week's classes. Catch the drift early and the cancellation never happens. This is the step that protects your revenue.

After two weeks of no visits
04

Payments chased politely

A failed direct debit gets a friendly message with a payment link, instead of an awkward front-desk conversation three weeks later. Money that quietly leaks, quietly recovered.

05

The review request

After a great first session or a milestone, members get asked for a Google review while the endorphins are still going. People pick gyms on reviews and photos, in that order.

Timed to the high points
The part that compounds

Full classes start with full reviews.

"Gym near me" is won by whoever looks busiest and best loved. Hundreds of recent Google reviews is exactly that. Most gyms never ask a single member. This asks at every high point. Roughly 1 in 6 people asked leaves a review. Unprompted, most businesses get about 1 in 50.

Yours, not a template

Your words. Your steps. As many as you want.

Every single message is customisable. The wording, the timing, the tone, what it includes and what it never says: all specific to your firm. Change any of it whenever you like, add as many steps as you want. All included, nothing is an upsell.

FAQ

The honest answers.

Does it work with my booking system? +
Yes. Glofox, TeamUp, Mindbody, ClassPass feeds, a website form or even a spreadsheet: as long as bookings and members exist somewhere, we can trigger the messages from them. Making it fit is my problem to solve, not yours.
Do my members need anything installed? +
No. They get a normal WhatsApp message from your number, in the app they already use every day. No app to download, no account to create. That is the entire point: no portal, no app, no login. Open rates on WhatsApp are far higher than email because people actually read it.
Can they reply, or is it a robot? +
They can reply, and it lands in your normal WhatsApp. The automation handles the predictable messages so you do not have to, but a real conversation is always one reply away. Nobody gets trapped talking to a machine.
What happens if WhatsApp disconnects? +
This is the bit most setups get wrong. A watchdog checks the channel around the clock. If it drops, it alerts and re-pairs, rather than silently sending nothing for a fortnight. There is also an email fallback so the message still gets through.
Why a monthly fee? +
Because it is a live service, not a one-off file. The £59 pays for the hosting it runs on, the monitoring that keeps it alive, the message log, and me making changes when your prices, policy or wording change. No retainer, no minimum term, cancel whenever.

Tell me what you need, and I'll tell you if it fits.

Tell me roughly how many members you have and what you want handled. I reply the same day, usually within the hour.

No commitment, and no call unless you want one. If it's not a fit, I'll tell you straight.

Or just message me.

Fitting for the irony, the fastest way to ask about WhatsApp automation is on WhatsApp. It lands with Jamie, the person who builds and runs it.
