WhatsApp automation · Accountants & professionals The engine is live right now

WhatsApp messages your clients. Automatically.

The bank statements chase themselves, the deadlines remind themselves, the filings confirm themselves, and your January stops being a month of ringing people who "will send it tonight". All automatic, from your number, in your own words.

One client. Five messages. Zero chasing calls.

Here is exactly what your client sees, from records request to filing. Every message fires on its own, on your deadline calendar. And every single one is customisable, word for word, so it sounds like your practice.

01

Records requested early

Every client gets their records request months before the deadline, itemised, with an upload link. The January bottleneck starts unwinding in November.

On your calendar, not January's
02

The chase you never make

Missing documents get chased politely and persistently until they arrive. Partners stop spending billable hours ringing people about bank statements. This is where the system earns its keep.

Until the file is complete
03

Deadlines flag themselves

Self-assessment, VAT quarters, confirmation statements, payroll dates: each client reminded about their own deadlines, automatically. Nobody rings you in a panic on the 30th.

Ahead of every deadline
04

Filings confirmed in writing

"Filed. You owe X by the 31st, pay here." Clients feel looked after, you have a written trail, and the "did my return go in?" calls stop.

The moment you file
05

The review request

Asked right after the filing confirmation, when relief is at its peak. Businesses pick accountants on trust and reviews, and December filers write very warm ones.

After each filing
The part that compounds

Chosen on trust, proven by reviews.

A business picking an accountant reads your reviews before your website. The best moment to ask is the minute their return is filed early and the panic they expected never came. This never misses that moment. Roughly 1 in 6 people asked leaves a review. Unprompted, most businesses get about 1 in 50.

Yours, not a template

Your words. Your steps. As many as you want.

Every single message is customisable. The wording, the timing, the tone, what it includes and what it never says: all specific to your firm. Change any of it whenever you like, add as many steps as you want. All included, nothing is an upsell.

The same chaser, city practice
Good morning Mr Shaw. A courteous reminder that we await your April to April bank statements to progress your self-assessment. You may upload them securely here.

Morning Dave! Still after those bank statements when you get a sec. Two minutes on the app and I'll stop pestering you, promise 😉

FAQ

The honest answers.

Is WhatsApp appropriate for client communication? +
For chasing and reminding, it is the single most effective channel there is: your emails sit unread for days while WhatsApp gets read in minutes. Sensitive documents still travel through your secure portal, the WhatsApp message just carries the link and the nudge. You stay in control of tone and content, because you write every message with me during setup.
Do my clients need anything installed? +
No. They get a normal WhatsApp message from your number, in the app they already use every day. No app to download, no account to create. That is the entire point: no portal, no app, no login. Open rates on WhatsApp are far higher than email because people actually read it.
Can they reply, or is it a robot? +
They can reply, and it lands in your normal WhatsApp. The automation handles the predictable messages so you do not have to, but a real conversation is always one reply away. Nobody gets trapped talking to a machine.
What happens if WhatsApp disconnects? +
This is the bit most setups get wrong. A watchdog checks the channel around the clock. If it drops, it alerts and re-pairs, rather than silently sending nothing for a fortnight. There is also an email fallback so the message still gets through.
Why a monthly fee? +
Because it is a live service, not a one-off file. The £59 pays for the hosting it runs on, the monitoring that keeps it alive, the message log, and me making changes when your prices, policy or wording change. No retainer, no minimum term, cancel whenever.

Tell me what you need, and I'll tell you if it fits.

Tell me roughly how many clients the practice has and what you want handled. I reply the same day, usually within the hour.

No commitment, and no call unless you want one. If it's not a fit, I'll tell you straight.

Or just message me.

Fitting for the irony, the fastest way to ask about WhatsApp automation is on WhatsApp. It lands with Jamie, the person who builds and runs it.
